- Service Delivery: To provide the specific engineering services you or your employer have contracted us for (e.g., conducting cyber security assessments, migrating data to the cloud).
- Administration: To manage our relationship with your organisation, process invoices, and maintain our internal business records.
- Marketing (Direct Marketing): To send you updates, white papers, and marketing material relevant to your professional role. We will comply with the Spam Act 2003 by including a clear and easy opt-out in all direct marketing communications (APP 7).
- Compliance: To comply with our legal obligations, resolve disputes, and enforce our agreements.
5. Disclosure and Cross-Border Sharing (APP 6 & 8)
We may disclose personal information to:
- Service Providers: Including I IT hosting, cloud platform providers, and accounting services.
- Sub-Processors: When necessary for client-specific projects (e.g., using a global security tplatforms)
- Cross-Border Disclosure (APP 8): In some cases, your personal information to recipients located outside of Australia(e.g. in the United States or Singapore) where your organisation’s cloud environment or data centres is hosted. We will take reasonable steps to ensure that the overseas recipient handles the personal information in accordance with the APPs.
- Legal Requirements: When required or authorised by an Australian law or court/tribunal order.
6. Client Data Processed as a Service Provider
When providing engineering or data management services to your company (e.g., managing your mining data infrastructure), we act as a data processor.
- We process data strictly according to the instructions and controls of your company (the Data Controller).
- The specific technical, security, and legal terms governing the protection of this client-owned data are detailed in our Master Services Agreement (MSA) or a separate Data Processing Agreement (DPA) with your company.
7. Data Quality and Security (APP 10 & 11)
Data Quality: We take reasonable steps to ensure the personal information we collect and use is accurate, complete, and up-to-date (APP 10).
Data Security: As a cybersecurity-focused organization, we apply strong measures, including encryption, strict access controls, and network protections, to safeguard your personal information from misuse, interference, loss, and unauthorized access.
Retention: We retain personal information only as long as necessary for the purposes outlined in this policy or as required by law. When no longer needed. Information is securely destroyed or de-identified.
8. Access and Correction (APP 12 & 13)
You have the right to request:
- Access to the personal information we hold about you (APP 12).
- Correction of any information we hold that is inaccurate, out-of-date, incomplete, irrelevant, or misleading (APP 13).
To make an access or correction request, please contact our Privacy Officer (Section 2). We will respond to your request within a reasonable period and will not charge you for making the request.
9. How to Make a Privacy Complaint
If you believe we have breached the Privacy Act or the APPs, you may lodge a formal complaint with our Privacy Officer.
- Complaint Submission: The complaint must be in writing and include details of the alleged breach.
- Our Response: We will acknowledge receipt of your complaint within 7 days and will investigate and respond to you with our findings within a reasonable time.
